Who are ‘we’?

In this policy, whenever you see the words ‘we’, ‘us’, ’our’, ‘the gallery’ or 'CI’ it refers to Colley Ison Gallery. CI collects, uses and is responsible for certain information about you.

This policy applies if you use any of our services, visit our website, email, call or write to us.
The privacy and security of your personal information is extremely important to us. This privacy policy explains how and why we use your personal data, your rights in relation to your personal information and how to contact us and supervisory authorities in the event you have a complaint. This is to make sure you stay informed and can be confident about giving us your information. The details of our privacy policy follow below.

Customer data

Reuben Colley Fine Art will never sell, share, or rent your personal details to third parties for any purpose other than those disclosed in this policy and never without first asking your permission.  Any information we collect is processed and stored as per the requirements of the Data Protection Act 1998 and the General Data Protection Regulation.

Personal data we collect and use

Your personal data (any information which identifies you, or which can be identified as relating to you personally for example, name, address, phone number, email address) will be collected and used by us but only once personally provided by you. We’ll only collect the personal data that we need.
In the course of our relationship with you we collect the following personal data when you provide it to us:
  • Contact details that you provide to us, including name, telephone number, email address, postal address
  • Information about your art interests
  • Notes on your interactions and conversations with us
  • Notes on any orders or agreements that you establish with us
Ways in which you may provide us with your personal data include filling in forms (these could be hard copy or on our website), or by corresponding with us by phone or email.

Essential cookies

These cookies contain NO personal information and last for 6 months to 1 year. They hold the date of your last visit and are used for things like identifying which items on a page have been read previously, your preferences for the number of items viewed per page etc...

These cookies are used to collect information about how visitors use our site. We use the information to compile reports and to help us improve the site. How we use your personal data

We’ll only use your personal data on relevant lawful grounds as permitted by the EU General Data Protection Regulation (from 25 May 2018)/UK Data Protection Act and Privacy of Electronic Communication Regulation.

We use your personal information for the following purposes:
  • To understand whether our artwork is of interest and/or relevant to you
  • To contact you with regards to our events, private views, exhibitions, artist updates and new releases that are likely to be relevant and/or of interest to you
  • For record-keeping and to decide our next actions to take with you
  • For the fulfilment of orders
  • For the creation of valuations and provenance packs.
Mailing List

Aside from the purposes listed above, which are undertaken on an individual basis you may also choose to subscribe to our mailing list to receive email alerts about special events, gallery news and artist updates.

With your consent, obtained either in the gallery or via the online sign up forms we will send you relevant and timely information to keep you up-to-date with CI.
In line with the new General Data Protection Regulation (GDPR) we now operate a double opt-in system in regards to subscribing to our mailing list. This means once we have received and processed your request to be added to our mailing list, you will be sent a confirmation e-mail with instructions on how to confirm your subscription.

CI will never share your information with other companies for inclusion in their marketing. (We may however share cookie data with third parties to help with our own advertising targeting). If you agree to receive marketing information from us you can change your mind at a later date.

Every email CI sends contains a footer that provides an opt- out facility; however you can also contact the gallery directly to request removal from the CI mailing list. All relevant contact details can be found under the heading ‘update your data and marketing preferences’.

Who we share your personal data with

We will not share your personal information with any other third party except for our interest free credit providers, couriers and/or our artwork insurance providers and only then if you have opted to use these services.

Your rights

Under the General Data Protection Regulation you have a number of important rights. In summary, those include rights to:
  • Fair processing of information and transparency over how we use your use personal information
  • Access to your personal information and to certain other supplementary information that this Privacy Notice is already designed to address
  • Require us to correct any mistakes in your information which we hold
  • Require the erasure of personal information concerning you in certain situations
  • Receive the personal information concerning you which you have provided to us, in a structured, commonly used and machine-readable format and have the right to transmit those data to a third party in certain situations
  • Object at any time to processing of personal information concerning you for direct marketing
  • Object to decisions being taken by automated means which produce legal effects concerning you or similarly significantly affect you
  • Object in certain other situations to our continued processing of your personal information
  • Otherwise restrict our processing of your personal information in certain circumstances

Keeping your personal information secure

We have appropriate security measures in place to prevent personal information from being accidentally lost, or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

How long your personal information will be kept

We will retain your personal information for a number of purposes, as necessary to allow us to carry out our business. Your information will be kept for up to 7 years on our main systems, after which time it will be archived, deleted or anonymised. Some of the archived information may be kept for up to 50 years for the purposes of provenance and record keeping relating specifically to the nature of our business of fine art. Any retention of personal data will be done in compliance with legal and regulatory obligations and with industry standards.

How to complain

We hope that we can resolve any query or concern you raise about our use of your information.

Changes to this privacy policy

This privacy policy was published in November 2021.
